Late Payment Fee Categories for Consent Approve/Deny Appeals
Appeals that fall into a category where the committee has a consistent track record of approvals or denials will be placed into consent and will not be brought before the committee for individual review. Any appeals that should have supporting documentation and are submitted without it should be rejected or automatically denied for lack of support. The following are categories for Late Payment Fee consent approvals or denials:
APPROVED
- If a university department submits documentation to the committee stating that an error/circumstances within its department contributed to the Late Payment fee charged to the student’s account.
DENIED
- If a university department submits documentation to the committee invalidating the reasons a student may have given as a cause for the late fee.
- The student forgot to pay.
- Parent or a third party pays the fees and could not pay at that time.
- The student never received an invoice.
- The student never had to pay before.
- No one informed the student of changes in financial aid.
- It was the student’s first time being late.
- The student’s family is having financial difficulty.
- The student did not know Florida Prepaid does not cover all fees.
DROP FOR NON-PAYMENT APPROVED
- If the student registered for the course(s) a semester or more before graduating and forgot to drop the course(s).
COMMON APPEALS AND RESULTING COMMITTEE DECISIONS
Late Payment Fee
- Reason – I paid over the Web before the due date.
Decision– Approve. A student must submit a confirmation receipt or other proof that a payment was made on or before the due date or if system problems can be verified through the university. - Reason – My fees were supposed to be paid by a university department.
Decision– Approve. A student must submit documentation from a university department stating its error/circumstances contributed to the student’s late payment fee. - Reason – I forgot.
Decision – Deny. Students are expected to know required deadlines. The Fee Payment Deadline is posted on the Academic Calendar. - Reason – My parents pay my fees and could not pay at that time.
Decision – Deny. It is the student’s responsibility to have their fees paid by the fee deadline no matter what source of funds is used for payment. - Reason – I never received an invoice.
Decision – Deny. The university does not send invoices. Students are able and encouraged to print an invoice after completing registration or making any schedule changes. - Reason – I never had to pay anything before.
Decision – Deny. Fee Invoices should be reviewed by students prior to the fee deadline. - Reason – No one told me there were changes to my financial aid.
Decision – Deny. Students who receive financial assistance are expected to know the eligibility requirements. Students should seek assistance if unsure whether schedule changes will affect financial aid. - Reason – This is my first time, it won’t happen again.
Decision – Deny. Students are expected to know required deadlines. The Fee Payment Deadline is posted on the Academic calendar. - Reason – I and/or my family are having financial difficulties and do not have enough funds to pay the fees on time.
Decision – Deny. Students should work with the financial aid office if experiencing difficulty in obtaining the needed funds. It is the student’s choice whether to remain in the courses if there will not be sufficient funds to pay the fees on time. - Reason – I had a family or other emergency.
Decision – It depends upon circumstances. Supporting documentation is required.
Dropped for Non-Payment Fee:
- Reason – My department was supposed to drop my course(s).
Decision – Approve. A student must submit documentation from the department stating that it was the department responsibility to drop the student. - Reason – I registered for the course(s) over a semester ago and have graduated and am not pursuing additional education at this time.
Decision – Approve. Good luck with your career. - Reason – I dropped my course(s).
Decision – Deny unless a system audit proves that the student attempted to drop the course(s) prior to the posted Drop deadline. - Reason – I forgot to drop my courses.
Decision – Deny. It is the student’s responsibility to drop courses on time. - Reason – I transferred to another college/university.
Decision – Deny. It is the student’s responsibility to drop courses on time. - Reason – I had a family or other emergency.
Decision – It depends upon circumstances. Supporting documentation is required.
